How to Prevent Cashier Theft at Your Shop Without Breaking Trust

How to prevent cashier theft with fair rules: know the common tricks, use a PIN and permissions per cashier, check voided sales, count the drawer every shift.

Preventing cashier theft starts with one principle: every rupiah and every item must leave a trail. Every sale is entered and gets a receipt, every cashier uses their own account and PIN, permission to void sales and give discounts is limited, and the cash drawer is counted at every shift change. These rules also protect honest staff.

This guide covers common cashier theft tricks, their warning signs, fair prevention habits, and how to set it all up in a POS app on iPhone or iPad.

Clear rules protect honest staff

Most cashiers are honest. The problem is that without tidy records, every shortage puts everyone under suspicion, including people who did nothing wrong.

Clear rules turn the question "who took it?" into "which sale did the discrepancy show up in?". Honest staff have proof, and the owner doesn't have to guess.

Explain the rules from day one, write them down, and apply them to everyone, including family members who help mind the shop.

Common cashier theft tricks and their warning signs

TrickVisible signsPrevention
Sale not entered, cash pocketedStock goes down without sales, sales drop during certain shiftsA receipt for every sale, rotating stock counts
Sale voided after the cash is receivedMany voided sales, especially cash salesOnly certain people can void sales, check voided sales
Unauthorized discounts or price changesRepeated large discounts, often to the same buyerLimit discount and price-change permissions
Taking cash from the drawerLess cash in the drawer than there should beCount the drawer at every shift change
Fake store creditNew debt in the name of a customer who says they don't owe anythingConfirm debts with customers, send regular reminders
Payment method swappedBuyer pays cash but it's recorded as QRIS or transferMatch the per-payment-method report against QRIS and bank statements

Fake store credit happens, for example, when a buyer pays in full but the cashier records part of the payment as debt in that customer's name. That's why unusual new debts should be confirmed directly with the customer.

Remember, a sign isn't proof. A voided sale can happen because of a typo, and a payment method can be mixed up when the cashier is busy. Use these signs as a reason to check, not to accuse.

The swapped payment method trick is the easiest to prevent with tidy records. How to do it is covered in the guide to recording QRIS payments (QRIS is Indonesia's standard QR payment).

How to prevent cashier theft with simple habits

  • One cashier, one account. Everyone uses their own PIN and never lends it out. Without this, the record of who did what means nothing.
  • Permissions that fit the job. A new cashier only needs to be able to sell. Voiding sales, giving large discounts, and changing prices are left to trusted people.
  • A receipt for every sale. Paper or a digital receipt via WhatsApp. Buyers who get a receipt become checkers too.
  • One drawer, one person responsible per shift. Staff keep their personal money separate, not in the drawer or on the counter.
  • Handover at shift change. The outgoing and incoming cashiers count the drawer together.
  • Rotating stock counts for high-risk items. Stock discrepancies are often the first clue to sales that weren't entered. Also read causes of stock discrepancies so you don't jump to the wrong conclusion.

Count the cash drawer at every shift change

The formula for how much cash should be in the drawer:

Opening float + cash sales + cash debt payments − cash expenses from the drawer

Example: an opening float of Rp 200.000, cash sales of Rp 1.350.000, a cash debt installment of Rp 75.000, and Rp 50.000 taken from the drawer for ice and a water jug refill. Expected cash is Rp 200.000 + Rp 1.350.000 + Rp 75.000 − Rp 50.000 = Rp 1.575.000.

If the counted cash is Rp 1.560.000, the difference is Rp 1.560.000 − Rp 1.575.000 = −Rp 15.000. Small differences can happen from giving the wrong change. Record them every day, because a repeated pattern means more than a single incident.

Overages should be recorded too. Extra cash can mean a buyer was short-changed or a payment was recorded wrong.

Ideally, the cashier counts without knowing the expected amount. This is called a blind count: the cashier isn't tempted to adjust the count, and the result is more trustworthy.

Opening and closing the register in KasirPOS

In KasirPOS, open More › Open / Close Register at the start of a shift and enter the opening float in the drawer. At closing, the cash in the drawer is counted and compared with the records, so any difference shows up.

A cashier without the View reports permission counts without seeing the expected amount, so it's a true blind count. The register closing report can be printed or shared, and the owner can see the difference.

Setting up cashier accounts, PINs, and permissions in KasirPOS

KasirPOS is a free iPhone POS app that also runs on iPad. Several cashiers can share the same device, each with their own PIN, and the cashier's name is recorded on every sale.

Add staff in More › Users, Cashiers & PIN › Add Cashier / Staff. Each cashier can be given different permissions:

  • Money and reports: View cost & profit, View reports, Record expenses/income.
  • Sales: Edit transaction, Void transactions, Give discounts, Change prices during a sale.
  • Shop data: Manage products, Manage stock & purchases, Manage customers, Change settings, Export & back up data.

For new cashiers, start with few permissions. Turn on others once the cashier understands the workflow and you trust each other. The owner can always see everything.

When the counter is left unattended or at shift change, use More › Lock / Switch User. The app can also be locked with Face ID or Touch ID. If a cashier forgets their PIN, the owner can reset it. A summary of the account settings is in the help on cashier accounts and PINs.

Tip: Don't use the owner's PIN for everyday selling in front of staff. A PIN that's seen often will eventually be known by others.

Review sales and reports regularly

Set aside about 15 minutes each week for a light review. Doing it regularly matters more than being thorough once in a while.

  1. Voided sales. In the Transactions tab, use the Voided filter. Voided sales stay visible along with the cashier's name, and their stock has already been returned automatically. Ask about any voided sale that looks odd.
  2. Sales by cashier. In the Reports tab, look at sales by cashier. Compare shifts that are about equally busy.
  3. Sales by payment method. Match the QRIS and transfer totals against the statements in your QRIS app or the shop's bank account. KasirPOS only records the payment method; the money goes straight to your QRIS or bank account.
  4. New debts. Open More › Customer Debt Book and look for debts you don't recognize. The guide on how to track customer debt helps you set up the rules.

At a kedai (small eatery) or café with several shifts, this review matters even more because more people handle the drawer. The register needs of cafés are covered in the guide to café POS apps.

If you find a discrepancy or a suspicious sign

  1. Double-check the data first. Make sure it isn't a wrong payment method, wrong change, or an expense someone forgot to record.
  2. Talk privately. Show the data, ask calmly, and listen to the explanation. Don't confront anyone in front of customers or other staff.
  3. Write down the outcome. Note what was found and what was agreed.
  4. Fix the process. Reduce permissions, change the drawer count schedule, or add a handover.

Avoid one-sided actions such as docking pay without agreement, spreading accusations, or checking an employee's personal phone. For any penalties, follow the employment agreement and labor regulations. If in doubt, ask your local labor office.

Frequently asked questions

How can I tell if a cashier is stealing?

Look for patterns, not single incidents. Signs include the drawer often being short on the same shift, many voided sales, repeated large discounts, stock going down without sales, or new debts the customer doesn't recognize. Double-check the data first, then talk privately before drawing conclusions.

Does every cashier need their own account and PIN?

Yes. With their own account, every sale is recorded under the cashier who handled it, so discrepancies can be traced without suspecting everyone. In KasirPOS for iPhone and iPad, several cashiers can share the same device, each with their own PIN and different permissions.

Can a cashier void a sale without anyone noticing?

In KasirPOS, voided sales don't disappear. They stay visible in the Transactions tab under the Voided filter, along with the cashier's name. The owner can also turn off the Void transactions permission for specific cashiers, so only trusted people can void sales on the shop's iPhone or iPad.

How often should the cash drawer be counted?

At least at every shift change and when the shop closes. Count together with the outgoing and incoming cashier, record the result, then compare it with the opening float plus cash sales and cash debt payments, minus cash expenses. Recording the difference every day makes it easier to spot patterns, not just one-off incidents.
