Switching Your POS App from Android to iPhone: A Complete Guide

POS data on Android cannot move to iPhone automatically. How to move products with Excel, check your printer, and handle old customer debts.

The data in a POS app on Android cannot be moved automatically to a POS app on iPhone, because they are different apps. What you can move quickly is your product list, with prices and stock, through an Excel file. Keep your old sales history as an archive, and collect old customer debts from your old records until they are paid off.

This guide is for shop owners who just moved from an Android phone to an iPhone or iPad, or who want to leave a POS app that limits products and sales on its free plan. The steps use KasirPOS as the example, but the order works for any POS app.

Step 1: export data from the old app

Do this while the old app and the Android phone still work.

  1. Export the product list to Excel (.xlsx) or CSV. It is usually in the products, reports, or data settings menu.
  2. Export the sales reports up to your last day on the old app, for your bookkeeping archive.
  3. Photograph or export the list of customer debts that are not paid off yet.

Note: in some POS apps, report export is only available on the paid plan. If you subscribe, export everything before the subscription runs out.

Step 2: import products on iPhone

In KasirPOS, open the Products tab and choose Add › Bulk Import. Download the Excel template, then copy the columns from the old app's file into the matching template columns:

  • Name and Selling Price are required.
  • Copy Category, Barcode, Unit, Cost Price, and Stock too, so profit and stock reports are right from day one.
  • If you use wholesale prices, fill in Wholesale Price and Wholesale Min Qty.

Import the .xlsx or .csv file. Products with a barcode that already exists are updated instead of duplicated, so you can safely import the same file again after fixing it. The step-by-step guide is in importing products from Excel.

After importing, do a quick stock count of your best sellers: More › Stock, Purchases & Stock Count › Stock Count. Small differences are normal, because you kept selling between the export and the import.

Step 3: check your receipt printer

This is the most common surprise. Many cheap thermal printers use classic Bluetooth. Such a printer connects to Android but cannot connect to an iPhone or iPad, because iPhone only works with Bluetooth Low Energy (BLE) printers.

To check, turn on the printer and open More › Printer & Cash Drawer in KasirPOS. If the printer shows up and a test print works, you can keep using it. If it does not show up, it most likely only supports classic Bluetooth. How to choose a suitable printer is covered in Bluetooth thermal printers for iPhone.

Until you have a printer, receipts can still be sent to the customer's WhatsApp as an image or PDF.

Step 4: customers and old debts

Add your regular customers in More › Customers & Members, at least their name and WhatsApp number.

For debts that are not paid off, the cleanest way is to collect them from your old records until they are settled, and record every new tab in the new app. If you enter old debts as new sales, your revenue for the month you switch goes up even though the goods were sold the month before. How to record new tabs is explained in tracking customer debt.

Step 5: set up payments and receipts

  • QRIS: save your shop's QRIS image in More › Payment Method, so it can be shown full screen when the customer pays. The money still goes into your own account. See also recording QRIS payments.
  • Receipt: set your logo, address, and footer in More › Receipt Layout.
  • Cashiers: if you have staff, create cashier accounts with their own PIN in More › Users, Cashiers & PIN.

When to switch

Pick the start of a month and a quiet day. Last month's reports stay complete in the old app, and reports in the new app start on the 1st. Prepare the products the day before, then on switch day just do a quick stock count and start selling.

What changes after moving to iPhone

  • Data is stored on the device. KasirPOS has no account and no server. To use an iPhone and an iPad together, turn on iCloud sync with the same Apple ID.
  • Backups are your job. Make a manual backup regularly and keep the file outside the iPhone. The guide is in backing up your POS data.
  • No limit on products or sales. Every feature is free, with no ads.
  • Every register device must be an iPhone or iPad. KasirPOS is not available for Android.

Frequently asked questions

Can POS app data on Android move to iPhone automatically?

No. Moving from Android to iPhone transfers photos, contacts, and messages, not the data inside a POS app. The product list can move through an Excel file; keep the sales history from the old app as an archive.

Will the thermal printer I used with Android work with iPhone?

Only if the printer supports Bluetooth Low Energy (BLE). Printers with only classic Bluetooth cannot connect to an iPhone or iPad. The quickest check is a test print from the POS app on the iPhone.

Can I use Android phones and iPhones together in one shop?

Not with KasirPOS, because the app is only available for iPhone and iPad. If your shop has several register devices, they all need to be iPhones or iPads with iCloud sync.

Will I lose my old sales history?

Not if you export it from the old app before deleting it. Keep the report files in Google Drive or iCloud Drive as your bookkeeping archive.

Is there a free POS app on iPhone with no product limit?

Yes. KasirPOS is free for every feature, with no limit on products, sales, or cashier accounts, and no ads.
